Service Agreements

To provide our internal and external partners design, print, or communications excellence, the Marketing + Communications department has developed our submission, process, and feedback Service Agreements.

  • All Marketing + Communication requests need to be submitted through submission forms
  • There are some cases when the below timeframe is not possible. In those cases, please contact Jen Niska, Chief Marketing and Communications Officer, as soon as possible.

Design

Submit work request one to three months depending on the design needed. If you are unsure of the timeframe needed, please check with Marketing and Communications Project Manager

  • For any design a kickoff meeting will be called to better understand the project.
  • Following the kickoff meeting, the Marketing and Communications Manager will provide a project plan, with deadlines.

Print

Outsource Printing

  • Any printing needs that need to be outsourced (if you are unsure, please check with our project manager) should be submitted three weeks before to allow for proof approval and printing process

Inhouse Printing

  • Submit print request one to three weeks, depending on the quantity needed. Anything over 200 pieces should be submitted for printing 1.5 weeks before required

Logo Usage Approval

Submit approval request three business days before feedback expected

Website

Updates + Errors

  • Allow three business days to complete.
  • If Update is updating an entire page or dealing with page structure please expect a week for changes to be completed.

Removal

  • Allow three business days for content/pages to be removed

New Page

  • For most pages please submit request two weeks before page needs to go live.
    • If request consists of multiple pages or contains special requests beyond the normal standard of our website we will repsond to you with a reasonable timeframe that fits the scope of your request.

Media

Photography

  • Submit work request two weeks to one month depending on the design needed. If you are unsure of the timeframe needed, please check with Marketing and Communications Project Manager.

Videography

Announcement Submission

  • Submit 24 hours prior to announcement email

Writing Assistance

  • Submit request three business days before an initial draft is expected, allow two to three days for final edits and approval

Editing

  • Submit editing request three business days before final is needed

Email Approval

  • Three business days
